This policy explains the categories of information American Dentists may handle, why we use them, and the choices available to you.

Information you provide

We may receive information when you contact us, request a directory correction, ask about a practice listing, or use the matching flow. Depending on the feature, this may include contact details, city or ZIP code, care and timing preferences, travel distance, insurance preferences, language preference, and a versioned consent record.

Directory and practice information

We process business and professional information from public sources, practice websites, regional network partners, and authorized representatives to maintain directory records and track their provenance.

Site and device information

We may collect standard technical and usage information such as pages viewed, referral source, browser type, and interaction events. We use it to operate, secure, and improve the service. We do not use unaudited activity totals as proof of practice performance.

How information may be used

  • Provide and improve directory, education, and matching features.
  • Respond to questions, corrections, and practice-control requests.
  • Protect the service, prevent abuse, and maintain audit records.
  • Meet legal obligations and enforce our terms.

Matching and patient contact information

Matching contact details are encrypted and stored separately from the non-identifying match decision. In the current shadow mode, American Dentists presents proposed, self-service options and does not send or broadcast the request to dental offices. Match decisions and analytics do not contain patient contact details. Practice availability, services, fees, and insurance participation must be confirmed directly.

Retention and choices

Matching records remain subject to an active retention lifecycle until they are scheduled for deletion, anonymized, or deleted based on operational need, consent, and legal obligations. To ask about access, correction, consent withdrawal, or deletion, contact privacy@americandentists.com. We may need to verify your identity and may retain limited records where required for security or legal purposes.

We may update this policy as features and legal requirements change. The date above identifies the current version.
